Regarding the users of our website, we also receive anonymous analytics information from the Google Analytics service. This information is used to develop the website.

Data disclosurers and transfers

As a general rule, your personal data is only processed by Probot Oy’s personnel in connection with their work. However, information may be selectively disclosed to third parties for necessary information if assigned by the data controller.
However, the ownership of the data is not transferred to the service providers upon transfer, and third parties do not have the right to use it more widely than the mandate. These service providers include e.g.

  • Contractual partners, e.g. postal and transport services and accountancy  (address details / billing information)
  • Website analytics service Google Analytics (anonymous analytics data)
  • Newsletter service MailChimp (name, email address)
  • Financial administration software Heeros ja billing operator (billing information)
  • Communication application Telegram (internal communication to manage customer relationships)
  • Online meeting services, e.g. Teams, Google Meet, Zoom (customership management, remote counsulting)
  • Task management tools, e.g. Trello, Slack, Todoist (work management for customership management)
  • Personal data can be transferred to authorities under current legislation

As the data controller, we do not transfer your personal data outside the EU or EEA. However, the third-party service providers we use may transfer data in their systems outside this area. In this case, the protection of personal data is taken care of as required by the GDPR.

Period of storing data

We store your personal data only for the time required by the contract, the law, or the purposes described in this privacy statement.

  • Customer register: Your data is stored for five years from the last contact, unless a longer period is well justified.
  • Newsletter: Your data will be stored as long as you are an active newsletter subscriber.
  • Google Analytics analytics data: Anonymous analytics data is stored for 26 months, after which the data is automatically deleted.

If the law or other obligation specifies a longer retention period for the storage of personal data, we comply with this external obligation.

Data protection

Your personal information is kept confidential, and only those who need it in their work can access it. The register is processed with care. The registers are based on IT systems, the use of which requires a username, password and access rights. We take care of digital information security appropriately. All data processors are bound by the duty of confidentiality. Materials containing personal data are disposed of securely.

The rights of the data subject

Personal information about you can be deleted or anonymized at your request. After this, your data is no longer used for the purposes described in the statement, unless the data has an obligation indicated by law. You also have the right to check information about yourself and correct any incomplete, incorrect, or outdated information.

You have the right to refuse to receive the newsletter or other direct marketing messages by following the instructions in such messages to be removed from the mailing list or by notifying us separately by email at privacy@probot.fi.

In all matters related to your personal data and data protection, you can contact us by email at privacy@probot.fi. We respond to contacts without undue delay but not later than one month after receiving the message. Contacts must be sufficiently individualized so that your identity can be verified.

Facebook

Probot Oy has its own page in the Facebook community service. For this reason, we also have a joint data controller with Facebook. This privacy statement applies to our page on Facebook, Facebook’s tracking pixel and Facebook’s messaging services. In practice, it is about situations where you like or follow our Facebook page, like, comment or share our updates or contact us in a messaging service.

Data controller

We are joint data controllers with Facebook, where applicable, with regard to fan pages, tracking pixels and messaging services on Facebook. Facebook processes personal data in accordance with its own data protection principles and is mainly responsible for compliance with data security legislation and the implementation of data security and the data subject’s rights in the service. The grounds and purpose of data processing

We process the personal data obtained from Facebook’s fan and community pages and messaging services based on legitimate interest for our sole purposes only. These purposes are:

Data sources and content
